Panhellenic Council

Job Descriptions

The President shall:

a. Be responsible for completion of the MGCA Award Application.
b. Attend the annual MGCA conference.
c. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
d. Preside at all meetings of the EIU Panhellenic Council as a non-voting member, except in the case of a tie vote.
e. Preside at all Council and Executive Board meetings as a non-voting member.
f. Keep on file the National Panhellenic Conference manual, reports, the Constitution and Bylaws, and rules and regulations of the EIU Panhellenic Association.
g. Properly represent fraternal women of EIU at official functions, meetings, conferences and events as necessary.
h. Work with the Interfraternity Council as Panhellenic Coordinator of IFC and Panhellenic Council activities.
i. Serve on reviewing committee for the President’s Award for Fraternal Excellence.
j. Serve on the interviewing Committee for Recruitment Counselor (RHO Chi) selection in the Fall Semester.
k. Maintain and post regular office hours of four hours per week.
l. Serve as a member of all Panhellenic committees. She is not required to attend all committee meetings, but when she does attend, she has a voice, but no vote.
m. Oversee the operation of Rho Lambda, or appoint another PHC Executive Board member to do so.

The Vice President Internal shall:

a. Oversee Intramurals, Women’s Empowerment Liaison, Natural Ties Liaison, RHA Liaison, IFC Liaison, UB Liaison, Student Senate Liaison, NPHC Liaison, and Faculty Senate Liaison).
b. Complete the MGCA Award Application before leaving term in the Fall Semester.
c. Attend the annual MGCA conference.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of a NPC sorority.
e. Coordinate selection of these committee chairs.
f. Serve as Council Parliamentarian.
g. Distribute all information in regards to Parliamentary Procedure including an educational.
h. Review and update the constitution on a semester basis.
i. Hold biweekly meetings with committee chairs.
j. Oversee copies and report forms are maintained.
k. Implement delegate training and retreat planning.
l. Preside over meetings in absence of President.
m. Inform chapters of all study skills and academic educational seminars.
n. Award scholarship certificates to all chapters whose overall GPA is above the all-women’s average.
o. Award certificates to all individual sorority women with a semester GPA of 3.5 or above.
p. Present an award to the chapter with the highest new member class GPA and the most improved chapter GPA.
q. Request three teacher/staff nomination of the month per member chapter and announce once a month.
r. Oversee the operation of RHO Sigma Alpha and serve as an undergraduate advisor.
s. Complete two office hours per week.

The Vice President Recruitment and Retention shall:

a. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
b. Attend the annual MGCA conference.
c. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
d. Schedule and structure dates of Recruitment in conjunction with the Director of Greek Life.
e. Develop all publicity/publications in keeping with the Panhellenic-approved Recruitment theme.
f. Facilitate meetings and training sessions for Chapter Recruitment Chairs and inform them of all details pertaining to Recruitment.
g. Conduct Recruitment Counselor (RHO Chi) interviews at the end of Fall Semester.
h. Lead Recruitment Counselors through a comprehensive training program of 15 weeks during the spring Semester.
i. Guide and train the Vice President Recruitment and Retention – Elect in all areas of Panhellenic Recruitment.
j. Evaluate recruitment efforts.
k. Select Recruitment Task Force to facilitate discussion and research on recruitment ideas.
l. Complete two office hours per week.

The Vice President Recruitment and Retention – Elect shall:

a. Serve as the assistant to the Vice President Recruitment and Retention in all matters concerning Recruitment.
b. Attend the annual MGCA conference.
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
e. Assist in the training of the Recruitment Counselors.
f. Serve as Secretary at all Gamma Chi training sessions.
g. Advise certain Gamma Chi committees (as assigned by the Vice President Recruitment and Retention).
h. Complete two office hours per week.

The Vice President Standards shall:

a. Oversee the Ritual cabinet chair.
b. Attend the annual MGCA conference.
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
e. Conduct all business regarding violations of the PHC/IFC Constitution and Bylaws, PHC/IFC Alcohol Policy, the student conduct code, and the EIU/VP Standards Code of Ethics.
f. Work in coordination with the Interfraternity Council Vice President Standards in interviewing candidates to become members of the Greek Review Board.
g. Work with the IFC Vice President Standards and the Greek Advisor to train all GRB members on all duties.
h. Serve as mediator of the Greek Review Board on a rotation basis with IFC Vice President Standards.
i. Record and maintain all cases of the Greek Review Board and maintain in confidence.
j. Complete two office hours per week.

The Vice President Membership Development shall:

a. Oversee Career Center Liaison and Lambda Alpha Delta Liaison.
b. Attend the annual MGCA conference.
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
e. Create Greek Educational Series and National Hazing Prevention Week activities
f. Inform Council of other educational programs available on campus.
g. Develop Master Event Calendar prior to each semester outlining all programming events and provide it to individual chapters.
h. Oversee the operation of activities, events, and programs of Lambda Alpha Delta.
i. Complete two office hours per week.
j. Plan etiquette dinner in coordination with Director of Greek Life.

The Vice President Risk Management shall:

a. Oversee the Counseling Center Liaison and RHO Liaison.
b. Attend the annual MGCA conference.
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
e. Work in conjunction with Vice President Membership Development to organize and plan social programs giving special attention to alcohol and drug awareness, date rape – sexual assault, AIDS awareness, Hazing, Chapter Management, etc.
f. Program for National Awareness Month (i.e. National Collegiate Alcohol Awareness Week, AIDS Awareness Month, etc.).
g. Attend RHO (Risk and Health Organization) meetings as an undergraduate advisor.
h. Compile and maintain a policy file drawer(s) containing all chapter policies regarding alcohol and hazing policy position statements.
i. Keep accurate files of all social awareness contracts.
j. Serve as Panhellenic representative in violations of PHC risk management policies sent to the Greek Review Board.
k. Select Risk Management Task Force members and guide discussion and research on council risk management policies.
l. Complete two office hours per week.

The Vice President Public Relations shall:

a. Oversee Historian, Greek Relations, Greek Column, Alumni Advisory Board Liaison, and Webmaster.
b. Attend the annual MGCA conference.
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a minimum of 2.75 cumulative GPA as an initiated member of an NPC sorority.
e. Coordinate selection of these committee chairs.
f. Hold biweekly meetings with committee chairs.
g. Oversee report forms and copies are maintained.
h. Market council events and programs (i.e. – Daily Eastern News, Charleston Times Courier, Websites, help coordinate Recruitment
publications).
i. Responsible for up-keep and maintenance of council web page.
j. Help individual chapters with up-keep and maintenance of chapter web pages.
k. Complete two office hours per week.

The Vice President Administrative Affairs shall:

a. Oversee Money Making and Historian cabinet chairs.
b. Attend the annual MGCA conference
c. Complete the MGCA Recruitment Award Application before leaving term in the Fall Semester.
d. Maintain a cumulative GPA of 2.75 as an initiated member of an NPC sorority.
e. Record and file minutes and attendance of the EIU Panhellenic Council meetings and Executive Board meetings.
f. Handle all correspondence.
g. Send out all minutes to designated personnel.
h. Compile an All-Greek Directory that shall include all chapter officers, Panhellenic/IFC officers, Student Life Office staff, chapter advisors, etc.
i. Assess and collect all sorority membership dues.
j. Pay all bills promptly.
k. Present budget for approval by the Council at the beginning of each semester.
l. Work with the Money Making chair on one project per semester.
m. Report balance at every Panhellenic meeting.
n. Work with Vice President Membership and Development to develop a workshop regarding chapter finances.
l. Complete two office hours per week.

The Vice President Community Service shall:

a. Oversee philanthropy cabinet chairman.
b. Plan Greek community service events, both on and off campus.
c. Attend the annual MGCA conference.
d. Complete the MGCA Recruitment Award Application before leaving term in the Fall semester.
e. Maintain a minimum 2.75 cumulative GPA as an initiated member of an NPC Sorority.
f. Work with individual sorority chapters to develop and maintain their community service programs.
g. Keep accurate files.
h. Hold one community service roundtable per academic semester.
i. Plan and co-sponsor one community service project with other campus organizations (i.e. RHA, IFC, etc.)
j. Coordinate and maintain a calendar of chapter service events per academic term.
k. Calculate and maintain chapter community service hours as a part of the PHC Community Service Hours Program.
l. Complete two office hours per week.The Panhellenic Cabinet chair duties and responsibilities shall be as follows:

 

a. Alumni Advisory Board Liaison. The Alumni Advisory Board Liaison shall act as the liaison between Panhellenic Council and the Alumni Advisory Board. She will attend all PHC meetings and report any information from AAB learned through conference calls, on campus meetings and functions, memos, letters, and any other correspondence

b. Career Services Liaison. The Career Services Liaison shall serve as the liaison between the EIU Career Services Offices and Panhellenic Council. She shall distribute upcoming events, programs and services to all chapters that are available at Career Services.

c. Counseling Center Liaison. The Counseling Center Liaison shall serve as the liaison between the EIU Counseling Center and Panhellenic Council. She shall notify all chapters of the services and programs available at the Counseling Center. She shall also be a resource for personal chapter matters.

d. Faculty-Senate Liaison. The Faculty Senate Liaison shall attend all Faculty-Senate meetings and serve as the liaison between Panhellenic Council and Eastern Illinois University’s Faculty-Senate. She shall inform the Panhellenic Council of all events and happenings of the Faculty-Senate.

e. RHO Liaison. The RHO Liaison shall coordinate with the Vice President of Risk Management RHO meetings. She shall raise consciousness about alcohol and other issues throughout the Panhellenic community.

f. GO!. The Greek Column Chair(s) shall be jointly responsible (with IFC Greek Column Chair(s)) for an all-Greek newsletter. The Chair(s) will utilize a committee made up of representatives from each sorority and fraternity. The newsletter shall consist of all information pertaining to leadership, chapter updates and all Greek-related events. The E.I.U. Greek Column shall be presented to the Panhellenic Advisor for proofreading before the publication is sent to the printer. This newsletter will be published twice a semester and shall be called the E.I.U. Greek Column.

g. Greek Relations. The Greek Relations Chair(s) shall plan and coordinate events that will increase relations within the Greek System and more specifically within the Panhellenic sororities.

h. Greek Week. The Panhellenic Greek Week Chair shall serve as the student co-advisor of the Greek Week committee, a steering committee whose mission is to plan and facilitate the activities and events of Greek Week. She shall meet with the Director of Greek Affairs and IFC Greek Week Chair weekly in addition to holding a weekly committee meeting. She shall report all current Greek Week news/deadlines to Panhellenic at the Council’s regularly scheduled meeting times.

i. Historian. The Historian shall be required to keep an updated history of the EIU Greek system and collect information to create a yearly PHC scrapbook that is displayed on the website. The Historian shall help with the upkeep of the PHC web page as needed. The Historian is also responsible for keeping a current Greek Annual Report and posting it to the website every semester. She shall also notify Nationals of the report. The Historian is also responsible for keeping an updated list of efficiency points for Panhellenic Council and Chapters.

j. IFC Liaison. The IFC Liaison shall attend all IFC meetings and report upcoming events/ activities to the Panhellenic Council. She shall further better communications between the sorority and fraternity system. She (in collaboration with the IFC Panhellenic Liaison) shall help organize informal gatherings of the two Councils.

k. Intramurals. The Intramural Chair shall be in charge of keeping all scores of each team from each activity. She shall also keep a roster of all members who participated in each activity. She shall have committee meetings made up of each chapter/s intramural chairs. These meetings will take place when the Chair deems necessary. At the end of each semester, she shall present certificates to the overall winners and the traveling trophy to the overall intramural champion.

l. Lambda Alpha Delta Liaison. The Junior Greek Council Liaison shall attend all PHC meetings and report all upcoming PHC events/activities to the Lambda Alpha Delta Council. In return, she shall report all Junior Greek Council activities and upcoming events to the Panhellenic Council. She shall further better communication between the Panhellenic Council and Lambda Alpha Delta Council.

m. Money Making. The Money Making Chair(s) shall be responsible for organizing and facilitating one major and one minor fundraiser per semester for the Council. The chair(s) shall work in conjunction with the IFC Fundraising Chairs. The fundraiser shall be determined by the Money Making Chairs and approved by the Executive Board. The fundraising activity/event may in no way involve alcohol or any other controlled substance.

n. Natural Ties Liaison. The Natural Ties Liaison shall act as the liaison between Panhellenic Council, the campus coordinator, and the chapter representatives. She shall attend biweekly meetings and help the coordinator keep accurate records of chapter representatives, announce upcoming events, promote membership, and make sure the chapter representatives are attending all scheduled meetings.

o. NPHC Liaison. The NPHC Liaison shall serve as the liaison between the Panhellenic Council and the National Pan-Hellenic Council. She shall attend all NPHC meetings and some NPHC events, and inform the Panhellenic Council of all events and happenings of the NPHC.

p. PHC Liaison. The Panhellenic Council Liaison shall attend all PHC meetings and report upcoming events/activities to the Interfraternity Council. He shall further better communication between the sorority and fraternity system.

q. Philanthropy. The Philanthropy Chair(s) will oversee a Panhellenic Council sponsored philanthropy each semester. This project may be conducted with another council or organization. The chair(s) may be responsible for determining a philanthropy to sponsor, with the discretion of the Panhellenic Council Executive Board. Once a philanthropy is chosen, the person(s) will oversee the planning of the event.

r. RHA Liaison. The Housing Association Liaison shall attend all RHA and Greek Court Council meetings. She shall inform the Panhellenic Council of all happenings of the Residence Hall Association. She shall further better communication between the Panhellenic Council, RHA, and the Greek Court Hall Council. She must also be a resident of Greek Court.

s. Ritual Chair. The Ritual Chair will attend all PHC meetings, provide a ritual “quote of the week”, examine the Panhellenic Council ritual and values, lead the reading of the Panhellenic Creed at each meeting, and contribute to ritual programming efforts of member chapters.

t. Senate Liaison. The Student Senate Liaison shall serve as the liaison between the Panhellenic Council and Student Government. She shall attend all Senate meetings and some Senate events and inform the Panhellenic Council of all events and happenings of the Senate.

u. University Board Liaison. The University Board Liaison shall be responsible for attending all University Board meetings. She shall inform Panhellenic Council of all University Board events, and other pertinent issues. She shall better communication between the Panhellenic Council and University Board.

v. Webmaster. The Webmaster will be required to keep an updated website for Eastern Illinois Panhellenic Council. She will meet with chapter webmasters and assist them in developing their websites. She will make sure that all sorority websites contain accurate and current information.

w. Women’s Empowerment Liaison. The Women’s Empowerment Chair shall serve as the liaison between the Panhellenic Council and Women’s Empowerment. She shall attend all Women’s Empowerment meetings and inform the Panhellenic Council of all events and happenings of Women’s Empowerment
